Job Responsibilities Manage complex and proactive diary scheduling, ensuring effective prioritisation of meetings and commitments Coordinate domestic and international travel arrangements in line with internal policies Facilitate professional interactions with internal and external stakeholders Support meeting preparation, including agenda coordination, materials, and follow-ups Build strong relationships and act as a trusted point of contact for stakeholders Partner with business management and support teams to ensure smooth operations Maintain accurate and timely use of internal systems and processes Anticipate needs and proactively resolve scheduling or logistical challenges Support projects and initiatives, including coordination, tracking, and reporting activities Leverage digital tools and emerging technologies, including AI-enabled solutions, to improve administrative processes and efficiency Contribute to continuous improvement of processes and team efficiency Required Qualifications, Capabilities, and Skills Experience supporting stakeholders in a corporate or professional services environment Strong organisational and time management skills with the ability to prioritise effectively Excellent attention to detail and ability to manage multiple tasks simultaneously Strong written and verbal communication skills Demonstrated ability to build effective working relationships High level of discretion and professionalism when handling sensitive information Proactive approach with strong problem-solving capability Ability to work independently and adapt in a fast-paced environment Openness to using digital tools and learning new technologies to enhance ways of working Proficiency in Microsoft Office applications, including Outlook, Excel, and PowerPoint Preferred Qualifications, Capabilities, and Skills Experience supporting senior leadership teams Exposure to working in complex, fast-paced environments Experience coordinating across multiple stakeholders or business areas Interest in operational excellence or continuous improvement initiatives Familiarity with digital tools, automation, or AI-supported workflows About Us J.P.
