Summary: We are seeking a highly experienced and proactive senior Executive Assistant to provide comprehensive, high-level support to executive leadership within a large, dynamic organization of approximately 800 employees. This role goes well beyond traditional administrative responsibilities, encompassing strategic support, business operations, organizational communications, and cross-functional project leadership. The ideal candidate will serve as a trusted partner to executive leadership and the Chief of Staff, contributing meaningfully to customer engagement activities, Executive Briefing Center operations, and the execution of key organizational priorities. This is a hybrid position based in Redmond, WA, requiring onsite presence three days per week. Job Responsibilities: Manage complex executive calendars, proactively resolving scheduling conflicts and prioritizing competing demands Coordinate and support leadership meetings, All Hands events, business reviews, and offsite gatherings from planning through execution Prepare and organize briefing materials, agendas, and supporting documentation for executive meetings and customer engagements Support Executive Briefing Center activities and customer engagement coordination in partnership with executive leadership Partner closely with the Chief of Staff to track key organizational deliverables, action items, strategic initiatives, and deadlines Process and review expenses, invoices, and budget-related requests with accuracy and timeliness Track headcount movements, new hires, and departures, maintaining accurate organizational records Support recruiting activities and coordinate interview logistics for the broader organization Collaborate with administrative partners across the organization on cross-team and cross-functional initiatives Handle urgent executive requests and escalations with professionalism and sound judgment Partner with HR, Finance, Recruiting, Procurement, and senior leadership teams to support operational excellence Lead and contribute to special projects that extend beyond traditional executive assistant responsibilities Maintain records management systems, oversee general office operations, and ensure organizational efficiency Read, analyze, and appropriately route incoming communications, submissions, and reports Requirements: 8–10 years of progressive executive assistant or business operations experience required Demonstrated experience supporting VP- or CVP-level executives in a large, matrixed organization Background in business operations and program management strongly preferred Experience with customer engagement activities and executive-facing communications preferred Prior experience at Microsoft or a similarly complex enterprise environment is a plus Exceptional verbal and written communication skills, with the ability to draft and review executive-level correspondence and organizational communications Strong calendar and meeting management capabilities, including experience navigating complex, high-volume scheduling environments Demonstrated ability to manage competing priorities independently and exercise sound judgment under pressure High degree of discretion and ability to handle sensitive and confidential information appropriately Strong organizational skills with meticulous attention to detail and follow-through Experience supporting customer engagement activities and Executive Briefing Center programs Proven ability to lead or contribute to cross-functional projects and stretch assignments Strong interpersonal skills and ability to build effective relationships across all levels of an organization Proficiency with productivity and collaboration tools including Microsoft Word, Excel, and PowerPoint Event planning and logistics coordination experience, including large-scale leadership events and offsites Strong leadership presence and ability to mentor or guide peers within an administrative team Additional Details: Location: Redmond, WA (Hybrid: 3 days/week) Duration: 8 months Pay Range*: $45.50 - $51.50 per hour Weekly Schedule: 40 hours Job Status: Non-Exempt Application Deadline: Apply within 72 hours of the posting date to ensure consideration.
