Brighton College is seeking to appoint a Personal Assistant to the Vice Principal on a permanent contract, working term-time (33 weeks) plus an additional six weeks each year (39 weeks in total). Main Purpose of the Role: The Personal Assistant to the Vice Principal will provide highly effective, discreet and proactive senior executive support, enabling the Vice Principal to operate as effectively as possible across the full breadth of their responsibilities. The Vice Principal plays a significant role in the strategic and operational leadership of the Brighton College group. As well as leading the successful Development and Engagement Team, the Vice Principal oversees a number of key global initiatives, including the group’s Artificial Intelligence strategy. This is a high-trust role for an exceptionally organised, capable and personable individual who can anticipate requirements, manage competing priorities and exercise excellent judgement. The postholder will often be entrusted with sensitive and confidential information and will need to operate with absolute discretion, sound judgement and professional maturity. The role will combine traditional executive assistance with a significant degree of coordination, communication and project support. The successful candidate will become an important point of contact for the Vice Principal and will help ensure that their time, commitments and priorities are managed effectively. General Duties and Responsibilities Executive Support • Manage the Vice Principal’s diary, prioritising and coordinating appointments, meetings and commitments, and proactively resolving scheduling and logistical issues. • Prepare the Vice Principal for meetings and engagements by ensuring that agendas, papers, briefings and other relevant information are available in good time. • Assist in keeping meeting notes and actions up to date on the school’s Development CRM, Raiser’s Edge. • Organise meetings, including preparing agendas, circulating papers, recording actions and ensuring appropriate follow-up. • Arrange travel, accommodation and complex itineraries as required. • Support occasional events, visits or commitments outside the normal school day where required, with appropriate notice. • Draft and proofread correspondence, briefing notes, presentations, reports and other documents. • Act as a professional and welcoming first point of contact for those seeking to engage with the Vice Principal. Coordination and Project Support • Support the Vice Principal in coordinating activity across the academic and operational areas of the school. • Work closely with colleagues across the College to ensure that requests, actions and priorities are progressed effectively. • Maintain oversight of key deadlines, events and initiatives within the Vice Principal’s portfolio. • Support strategic projects and initiatives led by the Vice Principal, including research, coordination and administration. Stakeholder Engagement • Build strong working relationships with colleagues across the College, as well as parents, pupils, Governors, alumni, donors and external stakeholders. • Liaise with members of the Group Leadership Team, Senior Management Team and other senior colleagues to ensure effective communication and coordination. Other • Maintain an efficient and well-organised office environment, including monitoring office supplies and placing orders as required. • Assist Development and Engagement team with research processes and event administration when required. • Track expenditure, budgets and expenses on behalf of the Vice Principal. Hours of Work Monday to Friday 8.30am-5.00pm with a 60-minute unpaid lunch break (37.5 hours per week). This role is term-time (33 weeks) plus six additional weeks (39 weeks total). This role offers flexibility in both working hours and weeks worked. The position may be considered on a 30 hour per week basis and the number of additional weeks worked can be agreed following discussion at interview. Remuneration A salary in the range of £29,418 - £32,780 per annum will be offered depending on the successful candidate's skills and experience. The FTE salary range for this role is £35,000 - £39,000 per annum. Please note, the salary banding may change depending on the agreed hours and working weeks.
